Managing Your Gallery Presence

Once you're approved for gallery participation, you can manage which products appear on the gallery, customize your artist profile, and submit work for curated collections. This guide covers everything you need to maximize your gallery presence.

Access your gallery management tools:

  1. Log in to Artbase Studio
  2. Navigate to Gallery in the main menu
  3. View your gallery overview dashboard

Dashboard Overview

Your gallery dashboard shows:

  • Gallery Status: Active, pending review, or inactive
  • Submitted Products: Products marked as gallery eligible
  • Approval Status: Pending, approved, or needs changes
  • Gallery Orders: Recent gallery sales
  • Analytics: Gallery-specific performance metrics

To make a product available for gallery curation:

From Product List

  1. Go to ProductsAll Products
  2. Find the product you want to submit
  3. Click the three-dot menu
  4. Select "Mark as Gallery Eligible"
  5. Confirm submission

From Product Edit Page

  1. Open any product
  2. Scroll to Gallery Settings section
  3. Toggle "Gallery Eligible" to ON
  4. Click "Save Product"

Bulk Submissions

Select multiple products from the product list and use the bulk actions menu to mark them all as gallery eligible at once.

What Happens After Submission

  1. Queue: Product enters curation queue
  2. Review: Curation team reviews within 3-5 business days
  3. Notification: Email notification of approval or feedback
  4. Live: Approved products appear on gallery.artbase.studio

Photography Best Practices

Gallery products should have compelling images:

Image Requirements

  • Minimum: 3 images per product
  • Recommended: 5-7 images showing different angles
  • Resolution: 2000px minimum on longest side
  • Format: JPG (preferred) or PNG

Photo Types to Include

  1. Hero Shot: Main product image, well-composed
  2. Detail Shots: Close-ups of texture, brushwork, materials
  3. Scale Reference: Product in context or with hand for scale
  4. Angle Variations: Different perspectives

Image Order Matters

Remember the commission structure when pricing:

You receive: 88% of listed price Gallery receives: 12% of listed price

Pricing Formula:

Desired Earnings ÷ 0.88 = Gallery Price

Example:

  • You want to earn $200
  • Gallery price should be: $200 ÷ 0.88 = $227.27
  • You receive: $200
  • Gallery receives: $27.27
Price Consistency

Keep prices consistent between your gallery and individual store listings. Different pricing can confuse customers and hurt trust.

Competitive Research

Price competitively by:

  1. Searching similar work on gallery.artbase.studio
  2. Checking comparable pieces on Etsy, Saatchi, etc.
  3. Considering your materials, time, and expertise
  4. Factoring in gallery commission

Artist Bio

Write a bio that tells your story:

Bio Structure:

  1. Opening: Who you are and what you create (2-3 sentences)
  2. Background: Training, experience, artistic journey (1 paragraph)
  3. Style: Your artistic approach and themes (1 paragraph)
  4. Current: What you're working on now (1-2 sentences)

Length: 150-300 words

Include keywords that collectors might search: your medium, style, location, and subjects. This helps your profile appear in gallery search.

Collection Submissions

Submitting to Collections

Open Calls

When a new collection is planned:

  1. Announcement: Email announcement of collection theme
  2. Submission Window: 7-14 day submission period
  3. Review: Curation team selects pieces
  4. Notification: Email if your work is selected

  2. View open collection calls
  3. Click "Submit Product"
  4. Select products that fit the theme
  5. Add optional note about why your piece fits

Increase Selection Chances

Submit products that clearly align with the collection theme. Include a brief note explaining the connection if it's not immediately obvious.

Artist Spotlights

Artist spotlights are featured placements on the gallery homepage highlighting individual artists.

Spotlight Selection

The curation team selects spotlight artists based on quality, uniqueness, and variety. There's no application process—focus on creating great work.

Preparing for a Spotlight

If you're selected for a spotlight:

  1. Email Notification: 2 weeks advance notice
  2. Content Request: Bio, high-res photos, artist statement
  3. Product Selection: Choose 3-5 products to feature
  4. Interview: Optional Q&A with curator
  5. Promotion: Gallery promotes on social media

Managing Approved Products

To remove a product from the gallery:

  1. Open the product
  2. Toggle "Gallery Eligible" to OFF
  3. Save product

Effect:

  • Product removed from gallery.artbase.studio
  • Still available on your individual store
  • Active cart items remain valid for 24 hours
  • Existing orders are fulfilled
Active Orders

If a product has pending gallery orders, wait until they're fulfilled before removing it from the gallery.

You can update approved products anytime:

Safe to Change:

  • ✅ Images (update photos freely)
  • ✅ Description (add more detail)
  • ✅ Price (adjust as needed)
  • ✅ Inventory (mark sold or add quantity)

May Trigger Re-Review:

  • ⚠️ Significant price increase (>50%)
  • ⚠️ Major description changes
  • ⚠️ Category changes

Out of Stock Products

When a gallery product sells out:

  1. Automatic: Product auto-removes from gallery
  2. Notification: You receive order notification
  3. Restock: If you restock, it auto-returns to gallery
  4. Made-to-Order: If you create made-to-order, product stays active

Best Practices

Regular Updates

  • Add New Work: Submit new products monthly
  • Refresh Images: Update photos as you improve photography skills
  • Update Bio: Keep artist bio current with latest projects
  • Review Pricing: Adjust prices as your work gains recognition

Engagement

  • Respond Quickly: Answer buyer questions within 24 hours
  • Ship Promptly: Ship gallery orders within 3 business days
  • Submit to Collections: Participate in collection open calls
  • Share on Social: Promote your gallery presence on social media

Quality Over Quantity

  • Curate Yourself: Only submit your strongest work
  • Maintain Standards: Keep gallery products at consistent quality
  • Remove Underperformers: If a product doesn't sell after 6 months, consider removing it
  • Seasonal Rotation: Rotate products to keep your profile fresh

Track your gallery performance:

  • Views: How many times your products were viewed
  • Cart Adds: Products added to carts
